Group travel is its own discipline. The hotels that do it well have systems for it. The ones that don't will tell you so quickly.
What changes with groups
Room blocks
10+ room bookings unlock dedicated group rates and block management. Most luxury properties have a group sales contact separate from the standard reservations team. Always book direct with this team — third parties lose visibility on group amenities.
Common space
A group needs a common space — a private dining room, a meeting room, a reserved terrace. Confirm this exists and is reserved before deposit.
Billing
Separate folios per room with a master folio for group expenses. Confirm the hotel can do this. Most luxury properties can.
Dining
Pre-arranged group dinners with set menus, customised. Don't try to walk a 12-person group into the restaurant unannounced.
Activities
The concierge will schedule activities across the group, but only if you brief at booking. Last-minute group sports rarely work.
The categories
1. Hotel buyouts
Full property reservations for 30+ guest groups. Twin Farms (20 rooms), Singita Castleton (12-bed). Covered in hotel buyouts.
2. Corporate retreats
Off-sites with meeting space, AV, group dining. Covered in corporate retreat hotels.
3. Family reunions
Multi-generational stays with villa architecture. Covered in family reunions.
4. Wedding parties
Group wedding accommodation, room blocks, ceremony space. Most resorts handle this with depth.
5. Friend group trips
Smaller (6-12) groups, shared villas, pool-and-beach focus.
Five rules
- Always book groups direct with hotel group sales — not via OTA
- Confirm common space (meeting room, private dining) before deposit
- Pre-arrange all group meals — set menus, customised, deposited
- Brief the activities calendar at booking — boats, spa, sports
- Budget 20% premium over individual rates for the coordination
