Which conference hotels earn their booking in 2026?

Seven venues, three different jobs: two convention anchors, three city business hotels, one regional congress machine, one retreat. The table gives the verified numbers; the entries say who each one is actually for.

1. Hyatt Regency Atlanta

The capacity king of this list: 180,000 square feet of flexible space, a 30,000 square foot ballroom with 26 foot ceilings seating as many as 2,200 for a banquet, and a 39,000 square foot Grand Hall for trade-show builds. This is John Portman’s original 1967 atrium hotel, and it runs conferences the way an airport runs flights. The honest catch follows from the scale: service is industrial by design, and a 40-person meeting will feel lost here. Earns World of Hyatt; see our World of Hyatt guide for what the master bill returns.

2. JW Marriott Indianapolis

The best convention anchor in middle America: 1,013 rooms, 104,000 square feet of its own space, a 40,500 square foot Grand Ballroom that is the largest in Indiana, and a climate-controlled skywalk straight into the Indiana Convention Center, with Lucas Oil Stadium on the same connector. Our editors score it 9.0/10 in the full JW Marriott Indianapolis review. Drawback: when a citywide convention is in, the whole building moves at conference pace, lobby bar included.

3. Conrad Singapore Orchard

Fourteen venues totaling about 17,000 square feet, topped by the Royal Pavilion Ballroom seating 500 for dinner under hand-cut chandeliers. The point here is not volume, it is polish per delegate: daylight breakout rooms, luxury F&B and an Orchard Road address. Right-sized for board meetings, launches and incentive groups; wrong for anything calling itself a congress. Hilton Honors earning applies, covered in our Hilton Honors guide.

4. The Westin Singapore

Ten meeting rooms and 11,248 square feet high in the Asia Square tower at Marina Bay, with a 6,144 square foot Grand Ballroom seating 600 and a second ballroom pair that splits cleanly for parallel tracks. It is the practical Singapore choice when your delegates are working in the financial district that week. The catch: it shares its tower with offices and the event floors can feel corporate rather than grand.

5. Mandarin Oriental Geneva

Around a thousand square meters of meeting space across roughly eleven redesigned rooms on a single floor, most with Rhone River views, handling anything from a two-person signing to about 250 delegates. Scored 9.5/10 in our Mandarin Oriental Geneva review, it is the European luxury board-meeting venue on this list. Be clear about what it is not: there is no exhibit hall and no room block for 400, and pricing is Geneva pricing.

6. Hilton Cairo Heliopolis

The regional congress machine: 26 meeting venues with listed capacity for 5,770 people across them, garden event space, and a location next to Cairo International Airport that spares delegates the downtown traffic entirely. It hosts the multi-day, multi-track events that nothing central in Cairo can. The trade is the same location: you are 15 kilometers from the city, so build your program assuming nobody leaves the property.

7. The Ritz-Carlton, Half Moon Bay

The retreat pick, scored 9.4/10 in our Ritz-Carlton Half Moon Bay review: more than 35,000 square feet of indoor and outdoor venues, a 7,100 square foot ballroom that seats 700 theater-style or 300 for dinner, and the Ocean Lawn on the bluff for the closing night. Groups of 10 to 400 fit; the format is strategy offsites, not conferences. Two honest cautions: coastal fog can erase the famous view for days, and weekend leisure demand prices midweek retreats far better.

How did we choose and verify these seven?

Every capacity figure above was checked on June 6, 2026 against the hotels’ own event pages and venue-listing databases (Cvent and equivalent planner sources), and we ranked on four criteria: verified flexible space, largest-single-room capability, the presence of a dedicated convention services operation, and fit-for-purpose clarity, meaning a venue gets credit for being honest about its size class rather than penalized for it. Hotels we could not verify to spec were left off. Methodology details live on our methodology page.

How do you match the venue to the event?

Start from headcount and work backwards. Under 50 delegates: buy a luxury boardroom day package (Geneva, Conrad) and spend the savings on dinner. 50 to 400: a self-contained hotel with one big ballroom and real breakouts (Westin Singapore, Half Moon Bay) keeps the group together. 400 plus, or any event tied to a convention center: book the anchor with the skywalk or the biggest contiguous space (Indianapolis, Atlanta, Cairo) nine to twelve months out, and verify the convention services team by asking for references from events your size.

Five rules for booking meeting hotels

  1. Match capacity class to headcount; an oversized ballroom deadens a small event.
  2. Ask for references from events of your size and format in the past year.
  3. Confirm AV with the hotel’s own technical team, not the sales deck.
  4. Contract room blocks 9 to 12 months out in convention markets.
  5. For multi-day programs, audit the walk from guest rooms to general session; minutes there compound.

Frequently asked questions

Last updated June 6, 2026

Which hotel has the most meeting space on this list?
Hyatt Regency Atlanta, with 180,000 square feet of event space including a 30,000 square foot ballroom, the largest hotel ballroom in Georgia, seating up to 2,200 banquet guests under 26 foot ceilings, plus a 39,000 square foot exhibit hall. JW Marriott Indianapolis follows at 104,000 square feet with the larger single ballroom at 40,500 square feet.
What hotel features matter most for business meetings?
Five things, in order: total flexible space relative to your headcount, a dedicated convention services team rather than a concierge with a banquet menu, built-in AV with on-site technicians, catering capacity at your group size, and the walking path between guest rooms and meeting rooms. Everything else is decoration.
Which pick is best for an executive retreat rather than a conference?
The Ritz-Carlton, Half Moon Bay: over 35,000 square feet of indoor and outdoor venues including a 7,100 square foot ballroom and the blufftop Ocean Lawn, on the Northern California coast. For a European board meeting at luxury level, Mandarin Oriental Geneva runs about a thousand square meters of redesigned rooms with Rhone views, sized for 2 to 250 people.
How far ahead should you book a conference hotel?
Nine to twelve months for room blocks of 100 plus, and earlier for citywide-event weeks in convention markets like Atlanta, Indianapolis and Singapore. Day-rate boardrooms at luxury hotels can usually be confirmed weeks out; full ballroom programs with AV production cannot.
Do luxury hotels rent meeting rooms by the day?
Most do. Properties like Mandarin Oriental Geneva and Conrad Singapore Orchard sell boardrooms with day-delegate packages covering room, AV basics and catering. It is often better value than a dedicated conference venue for groups under 50, and the coffee is reliably better.
Are convention-center hotels worth it over standalone hotels?
If your event is inside the convention center, yes, and JW Marriott Indianapolis is the textbook case: a skywalk connects it directly to the Indiana Convention Center, so delegates never cross traffic in January. If your event is self-contained, a hotel with its own critical mass of space usually beats paying convention-district rates.
Which loyalty programs do these conference hotels earn?
Hyatt Regency Atlanta earns World of Hyatt; JW Marriott Indianapolis, the Westin Singapore and Ritz-Carlton Half Moon Bay earn Marriott Bonvoy; Conrad Singapore Orchard and Hilton Cairo Heliopolis earn Hilton Honors. For planners, the chain meeting programs also pay organizer points on the master bill, which our loyalty guides break down.
