Cancellation is not a downside — it's a tool. Used well, it lets you secure inventory while keeping flexibility.

The two cancellation types

Free cancellation rate

Cancel up to 24-72 hours before arrival without penalty. Typically 10-25% more expensive than non-refundable.

Non-refundable rate

Pay at booking, no cancellation. Typically 10-25% cheaper than free-cancellation rate.

When to use each

Use free cancellation when

  • Trip is uncertain
  • Booking 60+ days ahead
  • You might find a better rate later
  • You want to compare options

Use non-refundable when

  • Trip is certain
  • Booking close to arrival (less time for changes)
  • Discount is meaningful (15%+)
  • Travel insurance covers cancellation

Hold and replace strategy

The advanced tactic.

  1. Book free-cancellation rate at hotel
  2. Continue searching
  3. If you find a better rate or property, book that
  4. Cancel the original within the cancellation window

This works because most luxury hotels release inventory 30-60 days out. Holding a booking secures inventory while you watch for better.

The risk: forgetting to cancel within the window. Set a calendar reminder.

Insurance considerations

Travel insurance often covers cancellation for medical, weather, and family emergencies. For non-refundable bookings, insurance is typically worth $50-$150 for $5,000+ trips.

For luxury non-refundable bookings, the insurance is essentially required.

Hotel-specific patterns

Big chains (Marriott, Hilton, Hyatt)

Standard 24-48 hour cancellation. Free-cancellation rates always available.

Independent luxury

Variable. Some require 7-day cancellation. Aman properties typically 14-30 day cancellation for peak. Confirm.

Holiday and peak periods

Cancellation windows extend to 60-90 days. Be aware.

Buyouts and groups

Group bookings have separate cancellation terms. Often non-refundable past 60 days.
